Downloading issued invoices in bulk
Downloading invoices from MyInvoiceOnline.co.uk is quick and straightforward — whether you need documents for a specific period or by client. This guide walks you through both methods so you can pick the one that suits you best.

Two ways to download your invoices

MyInvoiceOnline offers two methods for downloading invoices in bulk. Each one is designed for a different use case:

  • Issued Invoices — download selected documents directly from your invoice list

  • Exports — filter by period, client, or payment status before downloading

If you only need one invoice, simply open it and download it from the detail view. Bulk download is intended for working with multiple documents at once.

Downloading from the Issued Invoices section

The fastest way to grab the documents you need — perfect when you already know which invoices to download.

Step by step

  1. Navigate to the Issued Invoices section.

  2. Tick the invoices you wish to download — either individually using the checkboxes beside each document, or select all at once by ticking the box in the table header.

Available formats

  • PDF — for viewing, printing, and archiving

  • XLSX (Excel) — a tidy spreadsheet for your own records

Before downloading, you can filter the invoice list by period, client, or payment status — there is no need to tick documents manually.

Downloading via the Exports feature

Exports come in handy when you need finer control over which invoices to download — for instance, only proforma invoices from a particular client for the first quarter.

Step by step

  1. Open Exports in the application header.

  2. Click Export Invoices.

Your accountant needs only paid invoices from Company ABC for the second half of the year. In Exports, they simply set the period, choose client ABC, select the status 'Paid,' and download the PDF — rather than scrolling through the full list.

Choosing the right format

  • PDF — ideal for sharing with clients, printing, and keeping your own archive.

  • XLSX — an Excel spreadsheet for your own records, reports, and analysis. Not intended for import into accounting software.

Frequently Asked Questions

What is the difference between downloading from Issued Invoices and using Exports?

From Issued Invoices, you download the documents you have ticked in the list — it is quick and direct. Exports are better suited when you need to filter by several criteria at once (period + client + status) without browsing the list manually.

Can I download invoices for a single month only?

Yes — simply use the period filter in the Issued Invoices section or in the Exports feature.

Which format should I use when sending invoices to my accountant?

PDF is the most widely accepted format for sharing with your accountant. If you need a spreadsheet for your own record-keeping or analysis, choose XLSX.

Can I download an invoice in a different format after it has been issued?

Yes, you select the format at the point of download. The invoice remains saved in the application, and you can download it at any time as a PDF or XLSX.

Bulk downloading invoices from MyInvoiceOnline.co.uk saves you hours of work — whether you need a handful of specific documents or a filtered export for your accountant.
